Should I mount my entries?

No. Instead entries can be placed in clear plastic bags. Easy!

Where do I get the bags?

Bags are available at the Ad Club office. It is not necessary to buy your own bags. In addition a firm piece of cardboard is inside each bag to help support the artwork. If you would like to use your own bags the size is 13” x 18”.

I have a 3-D piece or an entry that won’t fit into the bag-what do I do?
-
If you have a poster, 3-D entry or an entry that just doesn’t fit into the bag please bring it into the office so that we can evaluate the best possbile procedure for handling it.

Why do I have to submit 2 copies of my entries?
-
We require two identical entries in order for us to have an entry for display during the Raid and judging, and a pristine entry that can be easily forwarded to the district competition.

How should I place my entries and entry form into the bags?
-
Each bag must include a copy of the artwork and an entry form. The entry form should show thru on one side and the artwork on the other. Each piece of artwork must have the entry number affixed to the back of the entry. Clear plastic bags can be picked up at the Ad Club office. In addition the Ad Club will also provide a piece of heavy card stock inside the bag to support your work.

Where do I affix my entry numbers?

Place your entries numbers on the back of your entry. When you print out your entry forms you can cut out the entry numbers and tape them to the back of your entry or you may write them yourself.

Why do I need to provide you with a jpg of each of my entries?

Jpg’s of your entries are used in the awards show and on our ADDY winners website.

Where do I send my jpg’s?

Please email a JPG of each entry to addy@sandiegoadclub.com by the deadline.

What are the specs for the jpg’s?

Please send hi res jpg’s. We will be resizing for multiple uses.

Please use the following file naming format: category_entry#_companyname.jpg.

Note category should include the category number and letter for example 37b. Entry # should not include 15-02 only the unique entry #.

What format do I need to use to submit my Radio or Audio spot?

AAF ADDY submission guidelines require the following:
-
Audio CDs are the only accepted format for audio entries. No AIFF, MP3, WMV or WAV files.
-
Use a separate CD for each single entry.
-
For campaign entries, include all components on one CD.
-
Label each case with the entry number on the front right hand corner of the case. Place entries inside an appropriately sized transparent plastic envelope. Insert two copies of the entry form inside the envelope. Also, write the entry number and title on the CD face with permanent, CD safe pen. For campaign entries, indicate the number of spots in the campaign.

DO NOT affix labels to the actual face of the CD.

What format do I need to use to submit my TV or video spot? TV or video spots require 2 disc’s one for local judging and one that complies with AAF submission requirements.

Disc 1 for San Diego Ad Club judging day and for viewing at the Raid and voting for People’s Choice:

Format your video content as a Quicktime file (.MOV), and use H.264 compression; maintain your native aspect ratio and resolution. Burn your content to a DVD-R. If submitting multiple clips, as in a campaign entry, make each one an individual Quicktime file (do not combine clips into one file).

Disc 2 for AAF ADDY submission guidelines require the following:

The only accepted format for video and television entries is DVD. Be sure that submitted DVDs will play on a consumer DVD player. If the entry cannot be played on a consumer DVD player, it is subject to disqualification.

When a DVD contains multiple spots, as in a campaign, include a navigation tool.

If the entry is a single spot or video, the DVD should be created to auto-play.

Entries must be “viewing copy only” and contain no color bars, tones or slates.
-
Video entry DVDs cannot contain MOV, MP4, AVI or WMV files.

How should I submit my video sales presentation or infomercial?

Video sales presentations and infomercial entries must submit an edited representative content of NO MORE THAN five minutes in length. Submit all entries on a DVD.

How do I submit my online entries (websites, online ads etc)?
-
AAF ADDY submission guidelines require the following:

For Website and all online entries, submit the URL addresses. Judging will be done online, using the URL whenever possible.
-
For multiple URLs in a campaign category entry, create a webpage that contains each of the individual links and provide the single URL to your newly created page, i.e.- http://www.somedomain.com/addy_entries.html.
-
In addition, it is required that you submit a printed, 8.5" x 11" color screenshot of the homepage and one inside page, pop-up, banner, screensaver, mobile marketing, etc.
-
A CD (Mac OS or PC compatible) of the entry screenshots must accompany each entry. The screenshot is for reference only. The CD is to be used only in emergency situations when internet access or unexpected hosting situations make viewing the actual site online impossible. Place all of the entry into an appropriately sized envelope (or CD sleeve) and affix the entry number on the front of the CD case and the CD.

URLs should not require any username or password for access. In cases where this already exists, the entrant should create an independent URL. For Disk-Based Sales Packages, submit on CD/DVD.

Do not submit a URL that leads directly to a “swf” file.
-
Do not submit executable files that will attempt to install a program on the judging computer(s). Executable files cannot be judged and will be disqualified without reimbursement of entry fees.

What is a campaign?
-
A SINGLE MEDIUM campaign is no less than two and no more than four total pieces in the entry.
-
A MIXED/MULTIPLE MEDIA campaign has two or more executions spread over two or more media. There must be a minimum of two media used, but no more than six. There can be no more than four pieces per medium, with a maximum number of nine total pieces in the entry.

What market am I eligble to comepete in?
-
Entries may be entered into only one local ADDY® Awards competition, which is determined by the location of the agency at which the work was created. In addition, the piece MUST be entered under the Geographic Considerations of the entrant.
-
In Elements of Advertising, entries may only be entered in the CBSA, DMA or MSA in which it was created by the original creator of the work, not the agency who commissioned the work. If an affiliated competition does not exist in the CBSA, DMA or MSA, the District will direct the entrant to the nearest affiliated competition. {Although not recommended, the entrant, if other than the agency/creator, may choose to enter the work on behalf of the creator (examples include, but are not limited to: printers, production companies or client). In this case, the entrant’s address will determine into which local show the work is entered. It is important, however, that the parties communicate to ensure the work is entered and eligible in only one market. Should a conflict arise and work is entered without knowledge in two markets, the NAC defers to the rights of the creator in all cases.}

I want to forward my work-What do I need to do?
-
Forwarding of Winners Only work that has won a Gold ADDY® or a Silver ADDY® in a local ADDY® competition will be eligible for entry into the District 15 competition.

When notified that you have won an ADDY you can opt to forward any Silver winners to the district competition. If you know already that you want to forward your winning entries to the district competition choose “Auto Forward” in the online registration system. Your winning entries will be automatically sent the District 15 competition.

Only work that has won a Gold ADDY® or a Silver ADDY® in a District ADDY® competition will be eligible for entry into the National ADDY® competition.

Do I have to pay a fee to forward my entry? Maybe…See below:

If your entry wins a Gold ADDY® at the local show, it will be automatically forwarded to the district competition with fees paid by the San Diego Ad Club.

Should the entry win Gold again at District level, it will be forwarded to the national competition with fees paid by District 15.
-
Silver ADDY winners in the San Diego Ad Club local competition have won the right to forward their winning entries and pay the fee. If you check the auto-forward box during online registration we will make sure your work moves up to the District 15 competition automatically.

Silver ADDY winners at the District 15 level will be contacted and given the option to forward to the National competition.

To forward or not to forward that is the question!

The San Diego Ad Club recommends forwarding your Silver entries on to the District 15 competition. At each level your work is judged with fresh eyes and new judges. So, why not give it a shot and try for a gold?

What does “Real Advertising” mean?
-
The expressed intent of the ADDY® Awards competition is to recognize and reward creative excellence in the legitimate everyday workplace of advertising. Occasionally, an entry is submitted that appears to have been created outside the conventional agency-to-client-to-media marketing structure; as if the entry was created solely for the purpose of winning an award. This type of work is not accepted. All entries, with the exceptions of Public Service Advertising, Advertising for the Arts and Industry Self-Promotion, must have paid for the creative services and media placement in the normal course of business.

What does “New Creative” mean?
-
To qualify as new creative, the copy must be completely different from that used in any previous ads. The same headline with different body copy does not qualify. Changing dates, locations, times, savings, etc., does not qualify. The illustration or photography can be the same, but the copy (thrust and content) must be new. Some ads present little or no copy. In the instance of no copy (other than time, location, and other basic information data), an ad with a previously used illustration does not qualify. If questionable, the final decision rests with the local, district and ultimately the National ADDY® Committee (NAC).
